InterDB – Project monitoring system

Introduction

With the InterDB system, R.G.IT BV offers a fully operational monitoring system for the management and control of EU Structural Funds programmes, e.g. INTERREG programs. The complexity of different actors and different international rules has been transformed into a user-friendly application, in which each partner manages its tasks and workflow steps on its own computer at home or in the office. The InterDB system has been in use since 2000 and is updated every period to the latest regulations and technology. The system has been used during the following programmes: INTERREG IIIA to VIA programs Germany-Netherlands and Maas-Rhine. With personal support and short communication lines, InterDB can be easily and comfortably implemented in all European countries.

InterDB – Interreg IV

The InterDB monitoring system is currently used by the German-Dutch Interreg V and IV program. The tool is completely web-based and includes an improved user interface. It also includes document and messaging options to allow easier communication between the partners, the lead partner and the program secretariat, while reducing paper flows and insecure emails (e-cohesion). Direct SFC communication is supported.

InterDB – Project monitoring systeem

The InterDB monitoring system monitors projects and manages programs. Starting with the lead partner using the system to apply for funding by completing an application form. Each version of this application is saved and can be retrieved later. A workflow process is linked to the project so that every step in the decision-making process can be registered. Important documents can be uploaded to the system. Once an application is approved, progress can be tracked. Financial data can be entered or imported (using Excel as a template). These costs are then automatically settled against financial participation from each of the financiers, using the most recently approved financing plan from the application form. Each cost collection is linked to its own workflow that follows from input to approval. Every step leaves an audit trail. Once released for payment, the system displays the cost collection in the project payment screen. Payments and/or advance payments can be made here for the EU fund or for those financiers whose payments you have indicated will be made through this system. InterDB keeps track of the available funds. Each period (eg 6 months) the Lead Partner has to fill in a certain checklist (questionnaire) and mark the results of the indicators (InterDB contains an extra set of indicators to monitor the publicity). This data can be printed out using the progress report. At the program level, the results of the projects are summarized to reflect the progress of the programme. Extensive information can be obtained using the standard reports or the report generator. N+2 rules can be estimated and SFC reports can be previewed. The following SFC reports can be generated from InterDB and uploaded to the SFC system: payment request, payment forecast and annual report. There the user can log in (with the access codes of the SFC) and verify and approve the uploaded data. For example, InterDB only prepares the reports within the SFC. Once SFC approves the data, InterDB can download the SFC results.
